Privacy Policy
Effective and last updated: October 11, 2026
We collect only what we need to answer your request, deliver your engagement and run a secure website. This page explains what we collect, why, who we share it with, how cookies and tracking tools work here, and how to exercise your choices.
1. Who we are
The Dragons Nest LLC, operating as Ember Ops Consulting ("Ember Ops," "we," "us," "our"), provides restaurant operations consulting in the Houston, Texas area and virtually. This policy explains how we handle personal information collected through emberopsconsulting.com, its free Restaurant Operations Assessment, contact and booking forms, chat assistant, payment pages, client portal and related emails (together, the "Services").
Questions or requests about privacy: noah@thedragonsnesttrades.com.
2. Information we collect
Information you give us:
- Lead and free-read information: name, email, phone number, restaurant name or concept, number of locations, revenue range, food and labor percentages, your selected weak link and the problems you describe.
- Contact and booking requests: name, email, phone, company, business address, preferred dates, selected package and notes.
- Chat assistant conversations: the messages you type into the chat bubble.
- Client account and portal data: login email, password (stored only in hashed form by our authentication provider), profile details, messages, daily 90-day logs, results numbers, uploaded documents and photos, feedback, questions and electronic signatures on agreements.
- Brainstorm and consultation calls: pre-call questionnaire answers and, only with your consent at the start of a call, audio recordings and transcripts used to prepare your written summary.
- Visit information: walkthrough notes, ratings and photos taken at your location during an engagement.
Payment information: payments are processed by Stripe. Card numbers are entered on Stripe's secure pages and are never received or stored by us. We receive payment status, amounts, plan, invoice and receipt references and the last details Stripe shares for record-keeping.
Information collected automatically:
- Funnel analytics: first-party events recording steps such as clicking the main button, starting or finishing the free read, seeing a recommendation, opening the calendar, completing a booking or joining the priority list, along with the page where it happened and, if applicable, your lead record ID. We do not attach names or emails to these events.
- Technical data: IP address, browser and device type, pages requested and timestamps, collected in server and security logs by our hosting provider. A one-way hashed identifier may be used to rate-limit the chat assistant and prevent abuse.
Information from others: if you choose Google sign-in, Google shares your name, email and profile image with us.
4. How we use information
- Provide your free read, recommendation and follow-up, and respond to contact requests.
- Schedule walkthroughs, visits and calls, and send confirmations and reminders.
- Deliver engagements: audits, SOPs, 90-day plans, logs, guarantee measurement and written summaries.
- Process payments, installments, invoices and receipts, and notify you of failed payments.
- Operate the client portal, messaging and document library.
- Send transactional emails (welcome, booking, payment, reminders). We send occasional founder-written follow-ups to leads; you can ask us to stop at any time.
- Improve the website and understand where visitors stop in the free-read and booking journey.
- Protect the Services: prevent spam, fraud and abuse, and keep security logs.
- Comply with legal, tax and accounting obligations and enforce our agreements.
5. AI-assisted features
Our chat assistant, free-read analysis, SOP drafts and call summaries use artificial-intelligence models provided through our technology platform. Information you submit for these features is sent to the model provider solely to generate a response and is not used by us to train models. AI output is a draft: every diagnosis, plan and summary delivered to clients is reviewed by Ember Ops before release. Do not enter sensitive personal information (such as health or financial account numbers) into the chat.
7. How long we keep information
- Leads who do not become clients: kept up to 24 months after last contact, then deleted or anonymized, unless you ask us to delete sooner.
- Client records (engagement documents, logs, agreements, payments): kept for the engagement plus 7 years for tax, accounting and guarantee-dispute purposes.
- Call recordings: kept only as long as needed to prepare and verify your summary, and in any case no longer than 12 months.
- Funnel analytics and security logs: kept up to 24 months.
8. How we protect information
We use encrypted connections (HTTPS), access controls that limit each person to the records they are assigned, role-based admin access requiring sign-in, private storage for uploaded files and recordings, and payment processing that keeps card data off our systems. No method of transmission or storage is completely secure; if we learn of a breach affecting your information, we will notify you as required by law.
9. Your choices and rights
You may, at any time:
- Ask what personal information we hold about you and receive a copy.
- Ask us to correct inaccurate information (clients can also update many details in the portal).
- Ask us to delete your information, subject to records we must keep by law or contract.
- Opt out of lead follow-up emails by replying "stop" or emailing us. Transactional emails about an active engagement or payment will continue.
- Decline call recording; the call can proceed with written notes instead.
Email noah@thedragonsnesttrades.com with the subject "Privacy request." We will verify your identity and respond within 45 days. Texas residents and residents of other states with privacy laws may have additional rights, including to appeal a denied request by replying to our decision; we will not discriminate against you for exercising them.
10. Children
The Services are for business owners and operators. They are not directed to children under 13 (or under 18 for accounts), and we do not knowingly collect their information. Contact us if you believe a child has provided information and we will delete it.
11. Where information is processed
Ember Ops operates in the United States. Our service providers may process information in the United States and other countries with appropriate safeguards.
12. Changes to this policy
We may update this policy as our Services change. The "last updated" date above shows the latest version. Material changes will be highlighted on this page and, for clients, announced by email or in the portal before they take effect.
